An Open letter to a Businessman

Date: 27th Feb 2010

Dear Arjun,

I am writing this letter without an address as I am not very sure of that. Also I am not sure whether it will reach you on time or not. However I hope, if at all it reaches you, it will find you in your best of health (both personal and business).

Arjun, last time I remember we met in a railway platform at Kanpur, when I was going to kolkata and you were coming from Puri. I do remember our trains were standing on either side of the same platform and we indecently met over a tea stall. I was very happy to learn that you have started fulfilling your childhood dream of starting up your own business. I was also very excited to know that you were planning to grow it at any cost. However, you were not very clear about your way forward because of existing business pressures and lack of time to think about growth plan. I do remember that you were also planning to computerize your existing business, but not very sure of where to approach and what to approach for. As because of lack of time we could not continue our discussion then.

Brother, growth of your business is totally in your hand, but yes from my own experience I would like to give you some simple tips which might help you squeeze out some time from your tight schedule for yourself and it is this time which you need to utilize smartly in your business growth. I know that you are looking for softwares to computerize your business. Also, you have allocated some reasonable budget for that.

Arjun, whichever software you buy it should help and stand by you during exception handling conditions in your business. With the help of a softwares if most of the exceptions can be handled by your staffs only, without encroaching your valuable time, you should buy it immediately.

Arjun, during one of my visit to Bangalore, I met a Software sales person in the train and discussed about how to decide on computerizing our most important backbone, i.e., Accounts and stocks. Believe me it was indeed an experience for me to hear from him and the logic he gave which most of the businessman does not even think during business solution’s buying process. He said, as for a business to grow, it should have a solid backbone; similarly we should also look for software with a solid database structure (which is its backbone). Let me try to explain some of them which I think will also help you decide on your software purchase. That person was explaining a software called ‘Tally.ERP 9 and after I heard his version, called it “The Magic of Tally Technology”.

Magic of Tally Technology

For you to understand Tally Technology and its magic (that I felt was there) we not only require to understand its proprietary database structure but also need to internalize the philosophy behind the thought process, bases on which its design statement was made, “processes never breaks any system, it is the exception which does. So how a software helps a businessman during business exception handling, determines the acceptability of that software in the market”.

Before we go directly into understanding these business exceptions we need to go down Tally’s memory lane first. Remember it is the magic of Tally Technology only which helped it withstand all odds and remain at the top for the last twenty years. Tally because of its technology is till date treated as trend setters among the Business community, not only in India but the entire world.

It is Tally which came for the first time with “true noiseless codeless” concept in any business accounting software in the world. It happens not by accident but by consciously designed technology.

Tally was the first true multiplatform compatible software in the world which used to support concurrent multi platform like DOS, Windows, Windows’95, OS2 and Mac. It happens not by accident but by consciously designed technology.

Tally was the first truly multi lingual software in the world which allows concurrent running of software in a networking environment, with a single database and with multiple languages. Concurrent entry of data and report generation there from can be done in different languages. As you are planning to grow your business through out India, imagine how it will help you to communicate with each customer in his or her own language. It happens not by accident but by consciously designed technology.

Presently, by entering into the ERP space, Tally is determined to change the entire concept of doing business in India. It is this Tally Technology which helps us to create the path breaking concept of during business by remote access of information. Imagine how it will help you when you travel with out any computer and get your daily reports say cash or bank balances or sales figure on your own mobile any time any where. It is happening not by accident but by consciously designed technology.

Tally is build above the magical foundation of its unique proprietary database structure. Tally seamlessly tackles most of the business exceptions just because of its intelligently developed database.

Let us now touch upon some of the basic and common exceptions in a business scenario and how Tally handles these situations, which might give you the feeling of its true magic. The best way of feeling its magic is to remember these situations in a SME segment and try to get it solved through any other software. Remember, it is because of this technology that they can proudly say to a client that you need not have to change your way of doing business, rather Tally will easily adopt your way of doing the same. Isn’t it fantastic?

Some of the Business Exceptions:

Portability of Data - Can we guarantee any businessman that his machine will never breakdown that too in a SME segment? Rather it was observe that the maximum number of changes in technology happens only in a SME environment. In such a scenario, movement of data from one computer to other is a part of their daily life. The technology of Tally is such that it allows all possible methods of data transfer, that too in the easiest and quickest mode. One can use simple copy, zip or even backup command (form inside Tally) in moving Data from one machine, with the click of a button. Importantly it reduces the dependency of a SME owner in technological know how. It is happening not by accident but by consciously designed technology.

Restoring of Data - Any data which can be copied can also be pasted in a separate destination. The question now is how easily and quickly it can be done. Whether it requires any particular flow of commands? The simple answer is NO. One can use paste, unzip or even restore command (from inside Tally) in moving the date to another destination. Importantly it reduces the dependency of a SME owner in technological know how. It is happening not by accident but by consciously designed technology.

Power Cut / Shortage Situation - It is rightly quoted that Tally is successful because Tally is designed for the Indian market. If we talk about the SME segment, Power cut has become a part and parcel of their daily routine. As such, because of its roll forward roll back or detection and correction mechanism it is seen only in case of 1 in 10000 cases Tally goes into silently bad situation, where rewriting becomes necessary. Else, Tally is self recoverable. What else one can expect from a software? Remember, it is happening not by accident but by consciously designed technology.

External Corruption / Change - Unlike any other software, in Tally any form of external interference to its database will not be unnoticed. Tally will command you to go back to the nearest possible reliable data. It is same as; if you enter your house you should have the information that the door in the third floor going to the terrace is open. It gives the required peace of mind for the businessman to concentrate in his business rather than constant policing his own system. It is happening not by accident but by consciously designed technology.

Designed for Recursive Structure - The target segment of Tally, i.e., the SMEs’ in India are basically having unstructured way of doing business. There is no fixed process that needs to be followed. It was also seen that for a particular job to be done, there are different process adopted at different level in the organization. Also, these processes are not fixed either. Tally adopts the difficult path of designing flexible hierarchy structure, which is very difficult for any other technology to provide. User can have any form or level of grouping or sub-grouping of his data, based on his requirement of MIS. It is happening not by accident but by consciously designed technology.

Unstructured Structural change - Every positive option might have a negative effect. Just now I have discussed the flexibility by which the user can have his own way of defining his data. Now imagine the accountant based on his understanding has created a Sundry Debtor ledger and entered 500 transactions there in. After a week the Chartered Accountant asked him to change the group as it was wrongly understood as Sundry Debtor and need to be put under Loans and Advances. What a nightmare for the poor accountant. How other technology can help this exceptional situation which occurs every day in a SME’s life. Tally allows the change to happen with a click of a button, without disturbing the transactions. Tally allows its user to have a true plug and play benefit. Don’t you feel the peace of mind a businessman have in having Tally installed in his business? Remember, it is happening not by accident but by consciously designed technology.

Process Independence - Tally is not a linear program. As we have seen the SMEs are basically used to unstructured way of doing business. There are no fixed laid down processes. We can start from Sales order to Delivery Note to Invoice creation till receipt generation. Also, any SME can skip any stage in between and only enter Invoice and receipt. Based on the practical situation, because of the constant cash crunch situation for a SME, one can go for one invoice against multiple Delivery notes. Similarly one can also go for one delivery note against multiple orders and vice versa. The examples and combinations are many, but it is only one Tally technology which handles all combination of situations without any hassle. Being a businessman what else you can look for? Remember, it is happening not by accident but by consciously designed technology.

Data Entry Error Correction - Actually as we are aware, for a SME businessman, business accounting software is for doing postmortem and not for doing business planning. Whatever software you use, one can’t ignore the human factor involved into it, in terms of data entry. Any mistake or time lags can produce incorrect information. Under such an exceptional situation intelligently designed software like Tally allows you to continue doing business, even with incorrect information and permits rectification once the mistake is detected. It actually provides Zero Downtime, which is a dream for any business house to have. Remember, it is happening not by accident but by consciously designed technology.

Unstructured Information handling - Keeping in mind the unstructured business handling by SMEs, continuously having a structured way of getting information is meaningless. As such, Tally provides the unique feature of filtering information from any level of unstructured data. It gives the opportunity to have structured information generated even from narrations in a voucher. Remember, it is happening not by accident but by consciously designed technology.

Concurrency - Concurrency of Periods, Valuations, Currency, Language and Company are some of the unique exceptional situations which can’t be imagined by any other technology to have in such a simple manner. Tally provides seamless concurrent period handling to get actual MIS generated, Concurrent Valuations to have your final reports as per your requirement, Concurrent Currency handling for your business expansion outside India, Concurrent Language to emotionally attract customers from various location to stick to your own business and finally, can have Concurrent Company handling to get your branches consolidated by any form of combination and permutation to see a group report, without even actually consolidating the data. Isn’t it mind blowing? Remember, it is happening not by accident but by consciously designed technology.

Aggregation - In continuation to the above mentioned point, Tally allows to get your company merged into a single report, remaining from any destination. “Tally Anywhere” feature is a unique feature for a businessman to have, where he can have his personal data elsewhere from his business data and even virtually merge them to get his real worth. Remember, it is happening not by accident but by consciously designed technology.

Tally Vault - This is one of the best technological breakthroughs that Tally had developed since beginning which actually provides the business man a well deserve good night sleep. Tally uses the world standard non reversible algorithm method to protect one’s data from getting hacked. Tally Solutions themselves can’t open a vaulted data, giving a businessman a 100% guarantee of peace of mind. Remember, it is happening not by accident but by consciously designed technology.

Physical Stock Entry - In our daily life we have seen many times a store is closed because stock taking is happening. As we have discussed earlier, one can’t avoid the human factor and the practical business practices by simply installing software. Data entry errors are bound to happen. Tally is supposedly to be the only unique software in the World which because of its magical database structure allows a simple physical stock entry to happen and keep the business running. Once the rectification is done, the difference between the actual and the altered value becomes zero and hence not disturb the entries done after the physical stock entry is made. It actually provides a hassle free Zero downtime to a business. Remember, it is happening not by accident but by consciously designed technology.

Data Size - It is indeed a pleasure for Tally to claim that because of its unique engineering that stands by Tally, with a given volume of data, Tally’s data size remains only 10 to 20% of that of any other software using other technology. It helps in portability as well as less prone to corruption. Being a business man what else one can look for. Remember, it is happening not by accident but by consciously designed technology.

Import and Export - As a part of integration frame work Tally provide its user a true import and export of data from and into Tally from any other application (irrespective of small or complicated). With the press of a button, one can simply export a formatted report from Tally’s screen even to excel and get his own MIS done. Remember, it is happening not by accident but by consciously designed technology.

Now try to imagine a software handling all these exceptional cases without any Database administrator available with the SME. Actually, it is the magic of Tally’s technology which makes it a “Database and OS Administration free software”. Tally is 100% self administered. It is a design statement and it is happening not by accident but consciously designed technology.

Hope I think you will also agree that all these logics are based on real life business exceptional situation. And if the statement of “all businessman thinks alike” is true, then this software will also help you attain your own childhood goal.

Arjun, as I am not having your address I am leaving this letter with the Puri Express’s guard. I hope one day you will again travel by this train and get this letter from your old childhood friend.

Thanking you,

Yours truly,

Sudipto Dey

Save Sparrows

May be I am over reactive, but I think this is quite a concern. If you have time please try to think the causes and pass it to any one who can help these birds. They were quite common sights on our balconies and courtyards but over a year or so suddenly started disappearing.

Yes, Sparrows.

We know that one of the cause is Mobile phone, but then what........, if possible save them getting extinct.

Is there any way we can start creating noise of "SAVE SPARROW". Do pass it to as many people as possible, specially those who can actually create noise.
